Who handles your data?

FileMagic is operated by Perspective Analytics SAS, registered with the Saint-Nazaire Trade and Companies Register under number 988 270 757, at 2 rue du Général de Gaulle, 44290 Guémené-Penfao, France. The company is the controller for processing needed to operate and secure the site and to handle requests addressed to it.

Files and information you submit

Browser-based tools process their content on your device. Server-based tools send the files, text and options needed for the requested operation, including a password when the tool requires one. Technical browsing data is processed even when you use a local tool.

Processing the user’s data needed for an operation is based on performing the requested service (GDPR Article 6(1)(b)). Submission is optional, but a server-based tool cannot work without receiving the necessary input. Only send what is needed for your request.

We do not use your files for advertising, model training or an indexing service. We do not sell them. Sending files containing other people’s personal data to server-based tools in a professional context requires prior written agreement: see the terms of service.

Security, logs and statistics

IP addresses, request information, job identifiers, technical results and errors help prevent abuse, diagnose incidents and maintain the service. This processing is based on our legitimate interest in protecting the service and its users (GDPR Article 6(1)(f)).

Some security events record an IP address. File names or technical information from processing tools may also appear in logs. Cleaning up working files does not itself delete these logs.

Cumulative counters, such as the number of files processed or thanks received, are retained to monitor service use. They do not contain files or IP addresses. We do not use advertising analytics or advertising profiling.

Retention

• Files and results: kept temporarily while waiting, processing and retrieving the result. For queued conversions, cleanup is triggered after a single result or ZIP is retrieved, or when results expire. The default setting schedules cleanup from ten minutes after processing ends, when the periodic deletion process runs; this is not a maximum period measured from upload. Individual downloads from a multi-file result remain available until expiry. A copy of the result may remain in your browser or on your device.
• Abuse prevention: in-memory IP counters are renewed and cleared according to their rate-limit windows. Technical logs are separate: retention serves diagnostic and security needs, according to the rotation cycles of the relevant components. Records needed to investigate an incident or defend a legal right may be kept while the matter is handled and for applicable statutory periods.
• Contact requests: contact details and correspondence are used to respond, based on our legitimate interest, or to meet a legal obligation for privacy rights requests. Retention covers handling the request and, where necessary, documenting the response or resolving a dispute.
• Aggregate counters: totals without data that can identify an individual may be retained to track the service’s history.

Providers and international transfers

Data needed for the service is accessible to the operator and providers involved in transmission, hosting or security. OVH SAS provides hosting. Cloudflare provides the proxy, CDN, traffic protection and Turnstile; its storage services may also hold aggregate counters.

For server-based tools, requests, including the files and passwords they contain, pass through Cloudflare before reaching our infrastructure. HTTPS protects data in transit; it does not make that data unreadable to the proxy terminating the connection.

Turnstile analyses technical browser and network signals to detect bots. Cloudflare acts as a processor to protect the site and as a controller to improve its detection capabilities, as described in its Turnstile privacy policy.

Cloudflare operates an international infrastructure: data may be processed outside the European Economic Area, including in the United States. Its Data Processing Addendum describes the mechanisms governing these transfers, including adequacy decisions and, where applicable, Standard Contractual Clauses. Cookies and browser storage

FileMagic does not use advertising cookies. Your browser stores some preferences and interface states, including language, theme, whether you have processed a file and whether you have thanked the service. These remain until the session ends or until they are cleared or replaced in the browser, depending on the storage mechanism.

Cloudflare may use cookies and technical signals for security and bot detection. The consent exemption covers only trackers used solely for electronic communications or strictly necessary for a service expressly requested by the user. A security purpose therefore does not, by itself, exempt every use from consent, particularly where data is reused for another purpose. You can manage local data in your browser, which may affect preferences and security checks. See the Cloudflare cookie information.

Your rights

Depending on the processing and the conditions set by the GDPR, you have rights of access, correction, erasure, restriction and portability. You can object to processing based on legitimate interests on grounds relating to your particular situation. Where processing relies on consent, you can withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

Send your request to or by post to the registered office. We inform you of the action taken on your request without undue delay and no later than one month after receiving it. If the complexity or number of requests justifies it, this period may be extended by two months; we will inform you of the extension and its reasons within the first month. We may ask for details needed to locate the relevant data and, where we have reasonable doubts about your identity, information to confirm it. We do not recreate deleted files to respond to a request.

You can complain to the CNIL or your competent supervisory authority. FileMagic does not make automated decisions with legal or similarly significant effects on you; anti-abuse checks may nevertheless reject a request.
